Personal Assistant – Managing Director & Finance Director
Location: London – key site's Andover and other training sites
Work Arrangement: Flexible approach to onsite and remote working, typically 2–3 days a week on site
Salary: Up to 35,000 to 40,000 depending on experience
The Role:
We are seeking a highly organized and proactive Personal Assistant to provide exceptional support to our Managing Director (MD) and Finance Director (FD), with additional assistance to the Senior Leadership Team (SLT) within the Training Business Unit. In this dynamic and fast–paced role, you will handle activities such as managing expenses, coordinating events, and arranging overseas travel, all while working in a flexible and sometimes demanding environment where attention to detail, strong organizational skills, and the ability to meet deadlines are crucial.
Reporting directly to the MD of Training, you will be responsible for a wide range of administrative and support activities, including diary management, travel arrangements, event planning, and communication. Your efforts will contribute to the seamless operation of the business unit.
We are looking for someone who is exceptionally diligent, super organized, and adept at building relationships quickly and easily in a constantly changing environment. You will work closely with the MD and FD, so the ability to quickly establish an open and trusting rapport is essential. This role offers variety and diversity – no two days will be the same!

Key Responsibilities:
- Positively engages to ensure a structured working relationship with MD/FD to manage workload and review priorities
- Proactively build and maintain strong, close relationships with other PAs.
- Providing a quality point of contact for internal and external stakeholders. This will include managing calls, filtering and logging email inbox correspondence in a manner that supports the MD and FD prioritise required distribution in a timely manner for action and response.
- Pro–actively manages and co–ordinates diaries and meeting requirements to ensure the right prioritisation; Manages and maximises opportunities for off–site meetings, planning travel, hotel and meeting room bookings ensuring best use of time and logistics when working off–site.
- Leads and sets out the plan for monthly site visits and meetings – for both regular working and leadership engagement with the operational teams.
- Takes an active role in the broader BU team and seeks to understand: the business requirements and ensure this is remains relevant to ensure most effective decision making in priorities time for the MD & FD.
- Trusted with confidential and highly sensitive information relating to internal and external projects, and in some cases, may be required to sign a non–disclosure agreement
- Thinks ahead and reviews "decision making meetings" to ensure that MD and FD have required preparation time and pre–brief meetings if required. Collation, preparation and control of briefing packs with strong handle on actions, preparation requirements, prompting timely updates for outstanding actions
- Takes a lead on the communication efforts for the business unit acting as a conduit for the newsletter, awards and other activities
- Manage the expenses process for the MD / FD
- Provide light touch support for some of the broader Training SLT members with activities such as event planning, expenses and overseas travel.

- Excellent communication skills and the ability to be adjust style to engage and ability to navigate and be comfortable in a matrixed organisation
- Confidence in being able to make diary judgement on behalf of the MD/FD
- Experience of delivering events and conferences would be beneficial.
