The opportunity:

We have an exciting opportunity for a passionate individual to join a dynamic team within the UK Support Function and to provide a professional, flexible and proactive executive assistance support to the Engineering Group Director (EGD) / UK Managing Director (UKMD). You are required to be proactive in managing a very busy workload and work on your own initiative on most occasions. You will need to exhibit a high level of organisation skills, resilience, communication and attention to detail, which is key to success in this role.

The Role (this is not an exhaustive list of responsibilities)
  • Will be based in our Stevenage and London offices with the flexibility to travel to other UK sites
  • Generate and maintain a close working relationship with internal and external stakeholders
  • To provide extensive complex diary management to the EGD / UKMD
  • To provide extensive complex travel arrangements both domestic and internationally and manage complex expenses
  • Management of EGD / UKMD emails – sending communication on behalf of the EGD / UKMD
  • Coordination of briefing notes, presentations, instructions, visitor passes, etc. for face to face meetings and engagements
  • Arrange and support the Executive Committee, Management Committee, Board Meetings and engagements with the MBDA Chief Executive Officer (CEO)
  • Supporting the CEO with logistics when visiting the UK
  • Engagement with Senior Industry Partners– BAE, Leonardo, Airbus, QinetiQ, Thales, Rolls Royce
  • Engagement with Assistants/Support team for Senior Government officials and Members of Parliament
  • Engagement with Assistants/Support team for Senior level Customers
  • UK Company Director engagement – arranging monthly meetings, issuing agenda's and arranging quarterly dinners
  • Organising and coordinating the EGD / UKMD with external shows/events – i.e. DSEi, MSPO, RIAT, Farnborough, Charity Dinner, Recognition Awards, Innovation Awards, etc
  • Arrange and support the EGD / UKMD with Employee Engagement activities, i.e. Vector Live
  • Arrange logistics and briefing packs for any media/filming activities
  • Provide technical/tools support to EGD / UKMD and senior management team
  • Working closely and effectively with the EGD / UKMD Chief of Staff
  • Flexibility to travel to the London office as and when required
  • General administration – desk bookings, office bookings, managing department letters, writing letters on behalf of EGD / UKMD and supporting the EGD / UKMD with DV vetting clearances
  • To participate and engage within the UK Support Function activities
