Personal Assistant to MD / Office Coordinator

Location: Peterborough, PE2 6GN
Salary: GBP26K per annum
Contract: 37.5 hours Monday Friday

We are now recruiting for a PA to MD / Office Coordinator!

75% of this role covers administration and coordination tasks for facilities, compliance and training.

The remaining 25% is allocated to supporting the company s leadership team with tasks such as diary management, travel arrangements and meeting notes.

In addition to this you will be responsible for:

  • Supporting the MD & wider leadership team with administration, meeting coordination and diary management.
  • Organising travel, accommodation and car hire ensuring all supporting documents are available such as flight itineraries, train tickets, agendas, meeting venues and restaurant reservations.
  • Taking and distributing meeting notes
  • Supporting the Quality, Health and Safety Manager (QHS) with all aspects of facilities management, such as keeping accurate records, producing documentation and coordinating service & audit reports.
  • Coordinating and scheduling building contractors, ensuring the Building Service Diary is kept up to date.
  • Raising facilities purchase orders
  • Organising and tracking compliance training, including First Aid & Fire Marshal
  • Proactively maintain central inboxes and room booking requests.
  • Maintaining and keeping accurate records of insurance and training certifications.
  • Responsible for monitoring and ordering consumables, stationery, PPE and other office materials always considering quality, price, and sustainability.

We are looking for someone with excellent organisation, time management and administrative skills to support with day–to–day business activities.

In order to be successful in this role it is essential that you have:

  • Have excellent attention to detail and accuracy.
  • Be able to take precise meeting notes.
  • Be reliable and work with discretion.
  • Have outstanding interpersonal and communication skills.
  • Have experience working with senior staff with the ability to show tact and diplomacy.
  • Be highly motivated and well organised, with the ability to flexibly prioritise workloads.
  • Be a confident user of Microsoft Office Suite
