Purpose of the Role

To provide a full administrative and sometimes secretarial service to the London COO and their team with additional PA duties for other Partners on an ad hoc basis.

Main Responsibilities

  • Outlook diary Management for COO when required arranging meetings with internal stakeholders.
  • Field Telephone calls and messages for COO and their team, liaising with clients where appropriate.
  • Make travel arrangements for COO and book restaurants when necessary.
  • Organise internal meetings for key stakeholders and follow up on action points.
  • Organise reporting requirements for internal stakeholders.
  • Book external and internal courses for COO.
  • Assist COO to prepare reports for the London office and firm.
  • Forward thinking on diary planning etc.
  • Printing of IPS case diaries for IP/Partners/Directors.
  • Prepare paperwork for meetings and take notes when required.
  • Typing letters, file notes, and, issuing of letters from system templates and formatting documents.
  • Opening Clients on CCH system, iManage system where necessary.
  • Carry out searches using Companies House, Lexis Nexis, URU/URL and Land Registry.
  • Action invoices.
  • Prepare engagement letters with enclosures.
  • Liaise with Admin team/Accounts department with any issues regarding invoices/expenses.
  • Timesheet entry and report printing.
  • Assist /support other members of the Secretarial team if required.
  • Other Ad Hoc duties as and when required.

Qualification and Skills

  • Excellent accuracy and attention to detail.
  • Positive and Assertive manner.
  • Ability to work on own initiative.
  • Excellent communication skills with the ability to deal with staff at all levels.
  • Excellent organisational skills using a methodical and flexible approach to tasks.
  • Excellent negotiation skills.
  • Experience in an office environment at Senior Secretarial or PA level.
  • Experience in an Insolvency Practice (preferred but not essential).
  • Excellent IT skills (Microsoft Office i.e. Word, Excel, PowerPoint, Outlook, Publisher etc.).
  • Transcribing audio skills and typing speed approx. 75 wpm.

Qualification and Skills

  • Experience in an office environment with a proven track record of providing Personal assistance to individuals and to a team
  • Excellent accuracy and attention to detail
  • Ability to work under pressure when managing several deadlines
  • Excellent communication skills and high standards of grammar – verbal and written
  • Proven ability to deal with clients, Partners and all levels of staff.
  • Excellent organisational skills using a methodical and flexible approach to tasks.
  • Proficient IT skills (Microsoft Office i.e. Word, Excel, PowerPoint, Outlook etc.)
  • Typing speed approx. 75 wpm (desirable).
