Head of Data, Claims and MI Salary DOE Gateshead Role Overview: Responsible for the management of data and compliance team, to ensure full compliance across all contracts/subcontracts, accurate monthly claims, effective audit activity across all contracts in accordance with SFA / Skills provider guidance, and management of MIS systems and reporting. Principle Accountabilities: Develop and implements data management processes and systems to ensure that all staff have consistent, reliable data in line with business and contract key performance indicators. To ensure processes are developed, implemented and completed for all learner files in all contracts. Responsible for timely and accurate data entry ensuring that all systems and paperwork complies with audit requirements. Ensure that learner information is accurately recorded in a timely fashion to meet month end deadlines and contractual requirements. To ensure all paperwork for processing has been completed correctly for both supply chain and direct delivery. To standardise the forms / paperwork used to ensure one set of centrally controlled documentation is used by Pin Point Training and its supply chain for claims processing. To understand Skills Provider guidance and ensure the administration team are kept up to date with any updates or training required. To ensure internal systems and paperwork reflect and adhere to latest skills provider guidance. Ensuring all data errors reported are corrected within the timescales set. Responsible for regular returns of data to identify errors and safeguard against finances. To use recognised industry applications to safeguard and maintain quality of data (DSAT, FISS and any further recommended and released applications). To ensure Skills claims for funding are maximised by meeting deadlines for processing. Maintain records of missing paperwork and inform the delivery teams and supply chain to ensure this is received promptly to complete the audit trail for every learner file, liaising with Operations Manager and Head of Quality on any paperwork or quality issues. To liaise with the Operations Manager for the processing of any early leavers that may occur. To ensure the timely collation, management and compliance of all apprenticeship related data inclusive of employer SLAs, IRL and review documentation. To review monthly claims values with the Operations Manager prior to upload. To ensure all learners are registered and certificated when required and in line with funding guidelines. To provide operational staff reports of performance activity across all contracts. Establish appropriate filing and data storage systems in line with the needs of each contract that comply to the processes and procedure of the company and relevant Data Protection legislation. To lead on data management across contracts using Aptem platform. Work flexibly across offices, as and when directed by line managers. As necessary, and in addition to the above, undertake other activities commensurate with the nature of the post. Experience and Qualifications required Essential Experience of SFA/ESF administrative requirements and data capture Experience of SFA monthly returns and end of year processing Knowledge of SFA / Skills funding and ILR requirements. Knowledge of apprenticeship levy funding and associated employer incentives. Knowledge of databases and general administrative procedures. Excellent IT skills that include Word, Excel, Powerpoint and Outlook. Ability to meet and lead a team to tight deadlines, prioritise work and work under pressure. Customer focused with excellent communication and interpersonal skills. Excellent organisational skills. Excellent attention to detail & accuracy Previous management experience Strong MIS knowledge and implementation experience Pin Point Training is committed to safeguarding and promoting the welfare of all learners/customers and expects staff to share this commitment.
