The Leamington Spa based Laboratory is part of the UK Health Security Agency Laboratory network and is at the heart of the UK's response to manage coronavirus (COVID–19).
When scaled up to full capacity, the laboratory will be able to process hundreds of thousands of tests a day, adding to what is already the largest network of diagnostic testing facilities in British history. It will play an important role in stopping the transmission of COVID–19, as well as ensuring the nation can respond quickly and at greater scale to deal with pandemics and other future threats.
The site has considerable benefits to the local area in terms of job creation and putting Royal Leamington Spa on the international scientific map with world–leading technology.
Overview: The PA / HR Administrator will provide assistance to the interim HR Lead and her team during the build of the Leamington Spa lab and transition to BAU operation. As the BAU HR team is recruited (in place from June), this role will be reviewed in terms of anticipated work activity and volumes to assess whether additional support is necessary and/or role responsibilities are flexed (whilst staying broadly within the remit of an HR/EA). The prime purpose of the role will be to act as the first point of contact for ad hoc people–related queries into HR and support the HR team across a range of administrative and co–ordinating duties.
Special features: Potential for this role to become involved in the complete spectrum of HR activity and develop as an HR practitioner
Duties include:
* Manage diary/schedule for the HR Lead, and for the wider team as necessary
* Form and maintain record–keeping systems and trackers and chasing up actions as appropriate
* Set up and maintain the HR database
* Set up and maintain secure team filing systems
* Prepare meeting agendas, collate and prepare meeting materials and take/circulate minutes and action logs
* Provide project management support to identified HR initiatives/events/projects
* Support the development, preparation and updating where necessary of HR policies, processes, documents and HR intranet content
* Support the preparation of HR metrics and reporting dashboards
* Be the first point of contact for lab colleagues on any HR related queries and proactively develop a network of relationships across the lab
* Arrange local induction programmes for HR and training team recruits
* Assist with the provision of required people information for the (MSP) payroll runs, liaising with line managers and Medacs as required
* Help with various arrangements internally, from processing expenses, event co–ordination
* Assist with any other administrative tasks as and when they arise

* Proven ability to influence across all levels of an organisation
* Used to working with confidential information
* (Ideally) experience working in the public sector and basic understanding of UK employment law
