The Role

To provide high–level PA support to the Chief Executive of Adjusting and where required, to the CTA Executive team, as dictated by workload and business priorities, helping the CEO and Executive team to drive strategic changes and business performance in conjunction with Team Assistant.

Key Responsibilities
  • To manage complex calendars for CEO and Executive team; to make appointments and set up meetings with; the Adjusting Senior Management Team (SMT), CTA Executive team, CT Group Executives, clients, external providers for 1 to 1 meetings/group/recurring/video/conference calls.
  • To assist in the production of written documentation, in association with SMT and Executive team in senior and confidential meetings. To produce correspondence, reports, agendas, action tracking updates and minutes to a high standard, including;

    • Monthly Executive Committee report
    • Oversee monthly SMT and Business Pipeline report – liaising with SMT, HR and Finance for content
    • Log client complaints
    • Assist Chief Executive in producing content for staff newsletters, video messages, townhalls and leaderships meetings
    • Assist Chief Executive with documentation for annual performance reviews
    • Assist in arranging papers and agenda for CTA Executive monthly meeting including monitoring and updating major initiatives
    • Assist in arranging papers and agenda for quarterly CTA Board meetings
  • To draw up travel itineraries and accommodation as and when required for the Executive team.
  • To be the primary contact for CTA on travel management issues and to refer to the Chief Executive as required.
  • Oversee coordination of three 2–day management conferences a year in; Asia Pacific, Americas and London, including; all meeting arrangements, travel, accommodation, presentations and associated material. May also include organising client functions, collaborating with local office teams and working to a budget.
  • Assist in the timely and accurate return of approvals of Board minutes, papers relating to CEO's various company Directorships.
  • Oversee the monitoring of expenses for SMT and Executive team through line management. Oversee the preparation of expense returns for Chief Executive and Head of HR.
  • Oversee preparation of invoices for payment.
  • To assist the Chief Executive in working with the Head of HR to drive and project manage:

    • Employee engagement survey,
    • Performance Management process
    • Reward process
    • Absence record system; monitoring and training
    • Employee relations; disciplinary investigations

  • To assist and work with CTA Legal Counsel on Risk Management, Compliance and Internal Audit wherever relevant. Perform the role of CTA's Time Bar and Conflicts Manager and take responsibility for monitoring, supporting and reporting on these processes and procedures worldwide.
  • Assist Chief Executive and Finance Director with the budget process; setting meetings and recording notes/actions.
  • Assist Chief Executive and Business Development Director with business planning.
