Location: Lombard Street, London
The PA to the Establishment Commercial Director has sole responsibility for providing comprehensive, confidential and professional support to the Director and the team in all areas of organisation, scheduling, correspondence and meetings.
You will take full responsibility and ownership of workload, striving to meet deadlines and complete actions on behalf of the Director to ensure an efficient and successful operation within the division.
What you'll be doing:
- Maintaining and providing first–class PA support to the Establishment Commercial Director, including forward planning of his workload, diary management and the coordinating and collating of all necessary paperwork.
- Taking full ownership and autonomy for Directors emails; making decisions and advising on behalf of the Director to all electronic and verbal enquires.
- Liaising effectively with internal and external clients on behalf of the Director.
- Managing a complex diary, using own initiative to anticipate and resolve any conflicts.
- Attending internal and external meetings including the preparation of papers, preparing briefing materials and presentations and taking minutes. Follow up on behalf of the Director so that all actions are completed within set timescales.
- Coordinating worldwide travel and accommodation, ensuring efficient use of time and minimal expenditure.
- Ensuring the smooth flow of information around the Director, filtering unnecessary data working towards deadlines and project milestones.
We are looking for a candidate who has:
- The ability to work proactively and take ownership, with an excellent eye for detail and takes pride in getting things right first time.
- The skills to act as first point of contact for all Director queries and calls and the ability to delegate work to others in the Director's absence.
- Ability to build strong relationships using first class written and verbal communication skills, competency in Microsoft Word, Excel, Teams and Outlook.
- The ability to manage and balance priorities to retain focus where needed, working at pace, adaptable and flexible and able address problems as they arise.
- Commercial awareness and knowledge of the business objectives and how they fit into the corporate business model.
- Ability to act as a role model always ensuring your actions are consistent with the culture of St. James's Place.
- A can–do attitude, willingness to work as part of a team and to act with tact and discretion at all times
