To act as Executive Assistant to Executive Directors, their deputies and other senior managers as assigned. The post may also involve line managing relevant administrative/support staff as required.

Providing effective support for the Board and its committees, including:

Planning for Board/committee meetings including maintaining the forward plan and coordinating agenda planning with the relevant Chair;
Timely circulation of papers ensuring that the papers are reviewed;
Proactively monitoring progress against Committee action logs through liaison with Executive Directors, advising the Committee Chair of any outstanding issues;
Booking key meetings and events including securing appropriate venues, hospitality and any other necessary arrangements;
Producing high quality minutes, including at Board and sub–committee level, in line with the requirements for each committee; and
Assist in the preparation of papers for the Board, sub–committees, other committees and working groups, ensuring all documents are proof–read and amended as appropriate for final review.

Act in the capacity of Executive Assistant to the principal, performing support tasks including:

Robust diary management, balancing competing pressures and priorities and anticipating and planning future activity;

Managing an effective bring forward system ensuring the principal receives relevant Trust documents and papers in a timely manner;

Act as a gate–keeper to enquiries on behalf of the principal, signposting to relevant Senior Managers or departments where appropriate.

Support the principal to effectively fulfil their personnel management responsibilities including appraisals, sickness absence, mandatory training compliance for the directorate, annual leave requests and ensuring the principal is alerted to issues relating to appropriate levels of cover.

Receive and respond to complaints, both face to face and by telephone made by staff and patients, in an efficient, sympathetic manner. Post holders will be required to communicate complex, sensitive information.

Manage incoming and outgoing electronic and paper correspondence, acknowledging letters and drafting replies (where appropriate) on behalf of the principal in an efficient manner, using initiative, discretion and sensitivity and upholding confidentiality as necessary.
