Overall purpose of RoleThe post of Financial Controller/Finance Manager will ensure accurate recording and reporting of financial activity in particular management accounts , project accounts and cashflow and working with budget holders to enhance the decision–making processes of the Institute and also  to support the charity administration in complying with all statutory and external requirements and regulations on behalf of the Company Secretary. The post includes basic bookkeeping and transactional input as well as higher level accounting.Main Duties and Responsibilities Accounting and budgetingMaintain Sage accounting data accurately including all transactional processing (sales invoices, purchase invoices, cash payments and receipts and journals)Ensure accounting transactions are correctly coded for nominal, VAT, department, project and in the case of restricted income and expenditure, charitable fundProvide payroll information to payroll bureau and NHS Trust as required to ensure correct calculation of gross pay for all staffProvide pension information to pension provider to ensure pension contributions are correctly declared and collectedPrepare and submit quarterly VAT returnAssist in preparing the annual budgetManagement reportingPrepare monthly management accounts at company, department and charitable fund level including maintaining schedules of fixed assets and depreciation, prepayments, accruals and other balance sheet items as required and present to relevant directors and senior managersPrepare financial reports for CRO projects to show project performance and profitability and present to relevant directors and senior managersUpdate Income & Expenditure, Balance Sheet and Cash Flow projections on a monthly basisPrepare information for the Trustee, Finance Committee and other meetings Statutory reportingPrepare audit file for the annual audirPrepare NPIMR Annual Return and Charity Commission returnsDepartmental supportSupport R&D grant applications with financial information and project costings as requiredPrepare price quotations for Contract Research projectsOversee the costing and recharging of key services including to sub tenantsProvide financial advice to department heads to ensure they maintain financial performance and produce departmental business plansCash managementEnsure sales invoices are raised promptly and carry out credit control function to ensure customer accounts are settled promptlyManage supplier payments within cash constraints to ensure good supplier relationships are maintainedMonitor cash on weekly basis and update cashflow forecasts to ensure the Institute is able to meet its obligations at all timesCompany secretarial/legal compliancePrepare Companies House and Charity Commission filings as requiredSafeguard the charity’s charitable status through a comprehensive knowledgeof relevant law, guidance and best practice in relation to the charity.Liaise with external advisers – accountants, lawyers, and other advisers where appropriateFinancial systems and processesMonitor and manage internal financial controlsManage key contracted servicesMaintain an asset registerIn conjunction with brokers, ensure that the charity carries appropriate insurance cover to protect its assets, and for all aspects of its operational activitiesSkills, knowledge and experience required including any necessary qualificationsQualified Accountant (or qualified by experience) with strong finance management experienceExperience of legal and accounting requirements for charities is desirableAdvanced Sage skills or similar accounting packageVAT knowledge including experience of partial VAT exemptionAdvanced Excel skillsExperience of supporting departmental budgetingStrong presentation skills including use of PowerPoint is also desirableAn organised and collaborative style, with good communication stats
