This is an outstanding opportunity for a well–motivated and experienced PA looking to progress to the next level.
Hours: 8.30 – 5.30 pm – 1 hour lunch (Friday finish at 5pm)
Holiday: 25 days (3 days to be taken at Christmas)
The ideal candidate will have previous PA/EA experience supporting at board level and any construction experience is an advantage. They will need to have excellent communication skills, be a good team worker and proficient using Word, Excel, Project (basic knowledge) and Office.
The role is very 'hands on' and would suit someone who can use their own initiative, with great organisational skills and personality to become an extension of the MD. You will need to be able to multi task, be very proactive and flexible. Attention to detail and a very high level of accuracy are important as well as the ability to uphold confidentiality. The role is not a typical 8.30 – 5.30 role and will require high levels of flexibility, independence and self motivation.
Training will be given for A–Site and Microsoft Project if required.
Role involves:
Providing full PA support to the managing director.
* Full inbox management including responding on behalf of MD where appropriate to urgent requirements, flagging emails for action, printing emails and email filing.
* Proactively manage the diary with regular reviews, anticipating clashes and finding solutions.
* Managing the daily action list, completing tasks where possible, chasing up others for resolution or information.
* Line management of Junior Administrator
* Organising the company Race Day event for clients
* Organising the company Christmas Party and Summer Party
* Some facilities management including plants, cleaners and overseeing any issues
* Dealing with communications from external companies, clients, possible acquisitions
* Managing/updating Outlook contact list
* Attending some meetings taking actions/minutes for circulation
* General typing of letters, memos and audio typing
* Formatting and creating word, excel, PowerPoint documents
* Screening visitors, telephone calls and taking messages.
* General admin duties, arranging meetings, congestion charge, arranging lunch and refreshments.
* Organising information, materials and logistics for internal meetings
* Production and distribution of monthly board report to include collating all documents and binding
* Managing domestic and international travel arrangements
* Occasional personal arrangements.
* Arranging site visits for live projects
* Dealing with P&C company documents/information
* Policing of the systems and conduct of staff.
* Completion of expenses; petrol claims, credit cards and cash
* Raising purchase orders
* Acting as a key liaison point between all personnel within the company and the MD
* Managing both paper and electronic filing systems for MD
* Archiving
* Supporting the Group FD drafting letters and any other correspondence
Required Skills
–Previous experience of working as a PA or EA supporting a CEO, MD.
–Strong organisational and communication skills.
–Good time management and ability to prioritise.
–Pro–active attitude and being able to anticipate the needs of the MD
–Must be able to work on own initiative.
–Excellent attention to detail.
–Ability to work under pressure to meet tight deadlines.
