Personal Assistant (for CFO & another Executive of a Private Equity owned organisation)

The Brilliantin EA Recruitment Team are recruiting for a PA to provide excellent 1:2:1 business partnering and professional support to the two executives (CFO & a.n.other) whilst providing additional support to other Board, Executive Committee and Departmental members as required.

Our client are one of most exciting and rapidly growing UK Privately Equity owned Real Estate organisations.

Key Accountabilities:

* Act as the first point of contact with internal and external stakeholders and manage contacts, deal with enquiries and queries, liaise as appropriate with all external and professional bodies (acting as the gatekeeper)

* Work to understand the business objectives and identify specifically how the role can contribute to the achievement of these

* Work with the business units Senior Management Team to ensure information, reports, etc. are produced to quality, in a timely manner

* Ownership of diary management for CFO and the Finance function ensuring time is maximised arranging appropriate forward planning of meetings and other documentation in alignment with the meeting schedule, ensuring that details of the venue, directions, attendees and any other relevant information is organised and communicated as necessary.

* Ensure any global meetings/travel arrangements are in the correct time–zone

* Collaborate with the PAs and Team Secretaries across the division and the rest of the business ensuring all key business meetings are in the diary and the engagements run smoothly e.g. 1:1s, Board meetings, investor meetings/roadshows

* Develop effective working relationships with relevant Exec Co Members and their PA's to provide support to them as required

* Organise and deal with correspondence, reallocating or dealing with it as appropriate

* Organise and deal with legal documents ensuring relevant director's signatures are obtained and documents are returned appropriately

* Ensure good communication throughout the team, coordinating All–Hands/Away Days and monthly e–comms

* Provide comprehensive and confidential secretarial support

* Input expenses for CFO and a.n.other directors (and underlying teams) as well as review incoming expenses claims for alignment prior to approval

* Code and allocate invoices prior to approval

* Provide support and cover to other PAs and secretaries in the office.

* Maintain knowledge and adhere to relevant Group Policies and Procedures, Legislation and Regulations

* Develop and ensure safe working practices

* Take accurate and appropriate minutes at senior meetings

Experience, Skills and Knowledge required

• Previous experience supporting MD level and Senior Director roles, specifically within a Private equity owned business

• High level capability in MS Office including Word, PowerPoint, Outlook, Exel and Diligent Boardbooks

• Strong organisational and administration capability, the aptitude to prioritise own workload and ability to deliver to tight timescales

• Excellent communication skills (written and oral) with the ability to work as part of a team

• Excellent self–management skills with ability to prioritise and manage time to meet changing business needs

• Collaborates with others, putting their own needs aside to create a shared sense of purpose

• Good process skills and a drive to secure continuous improvements

• Experience of managing and influencing stakeholders

• Excellent and proven interpersonal skills with a friendly and approachable personality

• Works well under pressure with the ability to maintain a positive attitude at all times

• Proactive and flexible with a willingness to undertake new tasks readily
