Our client has a requirement for an Executive Assistant to the CEO, who will be required to work on a permanent basis in London.

Job Description

The Executive Assistant to the CEO is a highly skilled and experienced professional who provides an extensive range of support to the Executive and Board Level.

Critical Responsibilities


  • Ensure that all activities are carried out in a safe manner complying with all regulatory requirements, legislation and HSEQ procedures
  • Ensure compliance with all health, safety and environmental requirements with working within your office base.
  • Must understand the wider business to support the Executive. Establish and maintain close liaison with other Personal Assistants to ensure the highest standards to support business activities.
  • Undertakes executive support related responsibilities in order to ensure effective and efficient business. Performs highly responsible, confidential and complex task on behalf of the Executive.

Areas of Responsibility


  • Act as a main point of contact and gate keeper to the CEO's office, assist with a broad variety of support that includes managing an active calendar of appointments; co–ordinating and strategically managing daily activities and meetings.
  • Must understand the wider business company activities and keep up to date with network contacts in the wider industry.
  • Communicates directly and on behalf of the CEO with Industry Leaders, Board Members, other company Executives and wider business groups leaders (internally and externally).
  • Ensure the CEO is fully prepared in advance for all meetings and events, including the preparation of reports, presentations, and other communications to support meetings, events etc.
  • Record action, minutes from meetings and follow up to ensure actions are completed as appropriate.
  • Organise and coordinate meetings: responsibilities include issuing of meeting invitations, collate responses, preparation of agendas, setup of virtual meetings and teleconferences. Ensure all documentation, are prepared, checked to a high level of standard and accuracy prior to issue.
  • Provide file management of documents, reports, presentations and other reference materials researched and collated on behalf of the Executive.
  • Coordinate senior stakeholders from several Business Units.
  • Any other reasonable duty as per instruction by your manager.

Required Qualifications / Experience and Knowledge


  • Tertiary qualifications (Diploma or undergraduate).
  • Demonstrable previous experience in similar role within a corporate HQ environment.
  • International experience well regarded, particularly in Oil and Gas and ability to operate efficiently across different countries and time zones.
  • Extensive experience of SharePoint, Microsoft Office, SAP, Maximo etc.
  • A high level of integrity, strong attention to detail and ability to multitask are also required.
  • Must have the highest level of ethics, good judgment and common sense.
  • Must thrive in challenging situations but can maintain a positive, pro–active attitude.
  • Strong organisational, project management and problem–solving skills with impeccable multi–tasking abilities and the ability to coordinate people and resources
  • Ability to manage high work volumes to tight deadlines and prioritise conflicting workloads in a fast–paced environment.
  • Liaise confidently and capably with all internal and external stakeholders using tact and discretion.
  • Outstanding communication skills (both written and verbal), listening skills and a professional courteous manner.
  • High level of attention to detail, and comfortable in safeguarding highly confidential information.
  • Confident in communicating with a varied range of stakeholders from different BU's and cultures.
  • Self–starter able to work on own initiative.
  • Punctual and excellent time keeping.
