Job Title: PA to the CEO

Location: Hassocks – own transport essential due to location

Hours: Mon – Thurs 8.30am – 5pm, Fri 8.30am – 4.15pm

Salary: GBP32,000 – GBP37,000 DOE

We are delighted to be working with our wonderful client in their search for a professional, efficient and highly competent PA to the CEO.

This role will be working very closely with an extremely busy CEO who travels extensively and globally and as such requires you to have extensive experience in managing complex travel arrangements. You will be relied on heavily, be trusted to complete work to very high standard with diplomacy, discretion and professionalism. You will have outstanding communication skills to work internally, but also with customers, suppliers, board members and international executives at the highest level.

As well as PA responsibilities, the role offers ad–hoc support to members of the Exec team as well as office management responsibilities.

The Role:

PA Duties

Organising and maintaining diaries and making appointments, providing reminders and daily action lists to the CEO
Arranging CEO's extensive and ever–changing travel, flights, accommodation and visas
Screening phone calls, enquiries and requests, and handling them when appropriate with discretion
Dealing with and prioritising incoming email, faxes and post, frequently corresponding on behalf of the CEO
Organising meetings ensuring the CEO is well prepared by researching producing documents, briefing papers, reports and presentations
Attending Executive meetings to take minutes and follow–up on outstanding actions
Devising and maintaining office systems, including data management and filing
Meeting and greeting visitors at all levels of seniority
Carrying out specific projects and research supporting the CEO's workload
Expenses – accumulating receipts and preparation of expenses sheets both in relation to credit cards, various currency expenses and mileage
Co–ordination of meetings/transfers and accommodation of visiting suppliers/customers or VIPsOffice Management Duties

Greet reception visitors
Answering and forwarding incoming calls to the main switchboard
Ensure meeting rooms are clean, tidy and well stocked for each meeting with lunches and refreshments organised where required
Provide support to book national and European travel, transfer and accommodation for all Head Office staff and visiting staff
Ordering stationery and supplies
Liaise with charities and staff around the group sponsoring charities, organise charity fundraising events
Assistance with organising staff events – annual Christmas party, summer BBQ and other ad–hoc events
Co–ordinating visa applications
Co–ordinating meeting room bookings and conference calls

Essential:

Significant PA experience at a senior executive level
Ability to use Microsoft Office tools i.e. Outlook, Word, Excel and PowerPoint to at least an intermediate level
Experience of Teams an advantage
Numerate and accurate with an attention to detail
Knowledge of travel planning and flight bookings
Experience of handling customer/board queries
