My client in London is currently in need of a Payroll Programme Manager
My client is pioneering the next generation of Retail – Mobile Stores – by bringing the best of the store to the customer.
The Role:
This role is responsible for the day to day administration of payroll operations and accuracy of the payroll system by working with Third Party Payroll provider Cloudpay to deliver Monthly UK and bi–weekly Canada payroll. This position will build and establish a scalable payroll system and process resolving payroll issues and queries. As a small finance team, this role will also support UK financial operations, such as reviewing expenses claims, recording transactions and ad–hoc people cost analysis and forecasting. This role requires general knowledge of UK payroll, wage and hour regulations, and basic accounting practices as well as learning Canada Payroll practices. Work consists of both routine and non–routine duties performed using general procedures and processes to follow, but variations in these procedures are typical.
Responsibilities
* Work with current Payroll provider (mid–size accounting firm) to ensure UK payroll is run smoothly while working with new Payroll provider Cloudpay to implement the new Payroll system for the UK and Canada as well manage the Cloudpay relationship.
* Post implementation, work with Cloudpay, manage workflow, prioritize responsibilities to ensure all payroll transactions are processed accurately and timely for approximately 500 hourly and salary employees in the UK and 100 in Canada.
* Export hours from Time & Attendance through ADP. Work with hourly paid employee's line managers (Captains) to resolve exceptions whereby ensuring the employee's timesheet is accurate.
* Working with People Success and Rewards to ensure employee's information is correct in the System for payroll process including new starters and leavers. Review and check terminations and payout accrued unused paid time off, according to policy.
* Ensure special pay or deduction are processed correctly including but not limited to Company Sick pay, SSP, SMP, SPP, bonus, private health insurance (benefits), EAD deductions, and pension.
* Prepare payroll related reports for earnings, taxes, deductions, annual leave, maternity leave, Paternity leave, and research exceptions.
* Create pivot tables with Excel/Google Sheets for audit, reconciliation, and reporting. Review and reconcile payroll prior to payments and validate confirmed reports.
* Learns and develops knowledge of payroll–related Enjoy policies, while complying with the UK regulations and requirements .
* Perform year–end payroll activities (P60) ensuring accuracy and ensure delivery by the deadline
* Partner with internal and external business partners to test new functional system enhancements, system updates, and integrations.
* Research and respond to payroll related inquiries, instructing employees to use the ticket system as necessary. Maintain a high rate of employee satisfaction through quality service; including tone and quality of responses
* Work closely with internal staff and vendors to ensure HR, Benefit and Payroll changes are processed, month–end close and management reporting is completed in a timely manner.
* Recommend and participate in the development of new procedures and policies related to payroll operations.
Requirements
* Proficient in MS Excel/google sheets including basic formulas functions (Vlookups, Pivot tables, IF statements, Sums, Counts, Average, etc.)
* Excellent verbal and written communications skills
* Understand and experience with time tracking system for hourly worker such as ADP or Kronos to process hourly workers with different shifts
* Experience of dealing HMRC and knowledge of the UK payroll regulations and requirements. Ensure compliance with HMRC, pension and/or other party requirements by keeping up to date with current and new legislation, advising management on required system enhancements.
* Demonstrated ability to partner with various departments (People, Reward and Field Leader) to solve issues proactively in a timely manner and to use discretion and independent judgment to solve complex problems
* 6+ years of payroll experience and knowledgeable of wage and hour worker requirements
* Experience with processing UK/Canada or other country payrolls
* Experience with accounting processes and month–end close including journal entries and reconciliations as it relates to payroll
* Highly organized with the ability to prioritize. Strong attention to detail, problem–solving and analytical skills. Knowledge of payroll controls
* Strong ability to maintain the confidentiality of payroll and other employee–related personal information
The salary for this position is GBP60k to GBP70k per annum and also consists of a generous holiday package along with other company perks.
