An Executive Assistant job in Simi Valley, CA, is currently available through Belcan. In this role, you will report directly to the Division President and be responsible for the organization and coordination of office operations, procedures, and resources to facilitate effectiveness and efficiency for the Division President and his direct reports. To be considered for this role, you will have a High School Diploma (AA degree preferred) and a minimum of five (5) years' of relevant experience in executive-level support in a large company environment (Aerospace industry experience is a plus). This is a contract-to-hire opportunity. Job Duties: Manage and support assigned Division President's direct reports, including: calendar, event planning, and organization of daily workflows Manage and oversee the maintenance of the Division President schedule, obtain and provide relevant information for scheduled appointments Oversee the preparation of events and large-scale meetings hosted by or involving the President Manage the scheduling of travel (hotel, flight, rental car, meetings agendas, presentation location needs, frequent flyer membership, and other items to facilitate travel) for the Division President and assigned direct reports Oversee payment obligations (for events, memberships, travel reimbursements, procurement card, expense reporting, purchases, office supplies, etc.) In conjunction with PLC Strategic Communications, develop / ensure presentations to include general preparation, identifying resources, collateral and presentation materials, equipment needs, and reviewing PowerPoint slides Provide onboarding support for all MCS employees as needed (cell phone requests, ITSAR's, office supplies and business card orders) Other duties as assigned Qualifications: High school education or GED required, AA degree preferred with at least five years' of experience in executive-level support, including managing and handling executive-level travel in CONCUR Very strong interpersonal skills and the ability to build relationships with all stakeholders as well as organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Expert level written and verbal communication skills and intermediate skills in all MS Office tools Demonstrated proactive approaches to problem-solving with strong decision-making capability Highly resourceful team-player, with the ability to also be extremely effective independently Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment If you are interested in this Executive Assistant job, please apply via the "apply now" link provided. Job Designation

Reporting directly to the?Division President,?the Executive Assistant is responsible for the organization and coordination of office operations, procedures, and resources to facilitate effectiveness and efficiency for the Division President and his direct reports. The incumbent will exercise discretion and independent judgment in confidential matters of importance, and ensure the general operations of the Executive Suite are functioning to maximum capacity.?This ?individual will perform a wide range of administrative support activities and provide back-up relief to the EA (office of the President) as needed

Job Core Responsibilities

  • Manage and support assigned direct reports, including: calendar, event planning, and organization of daily workflows.
  • Manage and oversee the maintenance of?the Division President?schedule, obtain and provide relevant information for scheduled appointments.
  • Oversee the preparation of events and large-scale meetings hosted by or involving the President.

  • In conjunction with PLC Strategic Communications, develop / ensure presentations to include general preparation, identifying resources, collateral and presentation materials, equipment needs, and reviewing PowerPoint slides.
  • Provide onboarding support for all MCS employees as needed (cell phone requests, ITSAR?s, office supplies and business card orders).
  • Meet professional obligations through efficient work habits such as: meeting deadlines, honoring schedules, coordinating resources and meeting in an effective and timely manner, and demonstrates respect for others.
  • Other responsibilities as assigned

Job Specifications

Five?to?seven years' experience in executive-level support with a high degree of emotional maturity.? Experience in the aerospace sector is a plus.? Must possess excellent written and communication skills, high degree of organization, professionalism, good telephone etiquette, discretion and excellent customer relations, along with the following:

  • High school education or GED required, AA degree preferred
  • Experience in managing and handling executive-level travel in CONCUR.
  • Intermediate to Advanced skill in all MS Office Tools
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including senior leadership staff, PLC division leaders, external customers and administrative peers.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
