The EMEA Events Executive will be responsible for the event management of a number of Regional Practice and Industry Group (RPG/RIG) meetings . each attended by 60 - 2-- lawyers and the client activity which accompanies these. They will also provide support the organisation of the annual Europe, Middle East & Africa Meeting of EMEA-based partners.

The EMEA Events team sits in the EMEA Business Development Unit, a regional team of 26 BD, Marketing, Events and Communications professionals. It is responsible for approximately 30 events per year including residential Industry and Practice Group meetings in major cities throughout the EMEA region as well as co-ordination and attendance at sponsored conferences as required . The person in this role will be part of an experienced team of three responsible for delivering these events, maximising the business development opportunities.

The Events Executive will bring a level of expertise to the meeting from inception to delivery to ensure high level and quality events are organised.

They will be highly organised, efficient, process-driven and have a strong attention to detail. They must be able to manage a varied workload and consistently meet multiple deadlines.

They will be an effective communicator and relationship builder with internal clients/colleagues and external suppliers.

Responsibilities

Events Logistics

- Research and negotiate hotel accommodation and meeting package rates, primarily in Europe
- Research travel costs, as required
- Send email communication to all attendees at various stages from nomination through to evaluation
- Work with PG/IG BD Managers to ensure timely production of the meeting materials including the agenda and any ancillary materials
- Work with the local/host office to organise evening events
- Ordering and preparation of meeting supplies and materials
- Creating standard meeting templates, including agendas, participant lists, presentations, name badges, feedback forms, etc
- Update meeting websites and upload information as required
- Co-ordinate all presentations from speakers prior to event and checking/formatting these as necessary
- Arrange all necessary technical equipment
- Manage payment of suppliers
- On-site management of meetings
- Collate and analyse feedback

Working with the EMEA Events team on the logistics surrounding the organisation of the annual Europe, Middle East & Africa Meeting of EMEA - based partners in April 2015 including

- Creating the meeting website and uploading relevant documents as required
- Sourcing and managing equipment requirements working with the IT Manager for Attorney Office and HQ needs
- Sourcing and managing A/V requirements working with suppliers and identifying meeting room requirements with EBDU managers and other meeting owners.
- On-site room checking
- Producing signage for meeting rooms and directional information
- Preparing and monitoring attendance/sign up sheets
- Creating collaterals including, tent cards, badges, event flyers

Working with registration team to

- Collate and update nominations for each meeting
- Prepare online registration forms
- Monitor on-line registrations and produce delegate lists
- Manage guest room block and relationship with hotel reservations team

Best Practice

- Develop relationships with Firm personnel and external clients in the region and with contacts within the hotel industry as appropriate
- Maintain a high standard across all meetings, ensuring that templates are developed and used, timelines are followed etc to ensure a high level of overall service and expertise


Requirements

The ideal candidate will have recently graduated with an events degree or have strong administrative experience (ideally in events). Whist not essential, prior experience working within an events role / experience would be advantageous.

Experience
• Previous events experience.
• University educated/degree qualified or similar.

Knowledge
• Meticulous in planning workload and implementing events.
• Well-developed communication skills.
• Good project management skills and expertise.

Skills & Competencies
• Highly organised with the ability to meet deadlines and to deliver projects simultaneously with an excellent attention to detail.
• PC literate and demonstrate good knowledge and the ability to use applications such as Microsoft office. Database experience desirable.
• Excellent communication skills.
• Team spirited, collaborative and to be willing to support their colleagues and 'muck in' when required but to be able to take initiative and run projects.
• A practical approach, capable of flexible thinking and demonstrate a pragmatic attitude to problem solving.
• Good level of factual writing skills, for example, to able to write invitation text and the ability to proof read.
• To remain calm and highly professional approach when working in a sometimes high pressure environment with multi-tasking and working on a number of deadlines.
• Expected to take a highly flexible approach to working hours i.e. availability to work during the weekend
• Expect a high level of international travel
